Helping clinics & doctors fix broken systems, automate follow-ups, and turn leads into consistent revenue using GHL, automation, email & SMM

POSTS STORIES REELS

Your patients already found you. My job is making sure none of them get lost on the way in.

Whether you run a growth-minded medspa, a physician-led dermatology practice, or a high-end surgical clinic, losing prospective patients to slow replies and broken follow-ups is costing you consistent revenue.

Hi, I'm Trisha an AI Automation & CRM Specialist and Revenue Growth Partner working in GoHighLevel and n8n. I help aesthetic clinics and doctors automate follow-ups, reactivate dormant patients, and turn missed leads into predictable income.

If your clinic is leaking revenue through the cracks of manual workflows, let's fix it inside the CRM you already own.

A men's clinic in Toronto. A reminder lights up the family tablet at breakfast, with the treatment named in the preview.

The patient laughs it off. He never books again. The owner only sees the rebookings stop.

The fix was not a better offer. It was a quieter message: the patient's own channel, a plain sender name, nothing in the preview.

Read your own reminder tonight as if it landed on a shared screen.

A composite story. Not a real client. The owner, the clinic and the patients are invented.

Picture a clinic owner locking up on a Friday. Her most loyal patient walks past her door and into the new clinic across the road.

No complaint. No bad review. No goodbye.

Before you go home tonight, name three regulars you have not seen this year. Do you know why they stopped?

Dana, Mags and Ruth are fictional. The gaps are not.

Monday, 10 AM. The weekly numbers meeting. On the left screen, the ad platform: clicks, cost, a line going up. On the right, the visit schedule: a line going sideways. Somebody asks the obvious question. Where did everyone go in between?

Nobody can answer, and not for lack of trying. The intake lives in one tool. The ads live in another. The visit lives in a third. Each one is accurate. None of them can see the others.

So here is what probably happened on Thursday night. A patient clicked the ad, answered the first few questions, reached the photo step, looked at the light in her bathroom, decided she would finish tomorrow, and closed the tab. Tomorrow never came. She was eligible, willing and one screen from a visit. You will never know her name, because the name field was on the last page.

That is the cruel part of a leaking intake. The people you lose are the ones who almost said yes. They are not browsers. They did most of the work.

You can price it without a new dashboard. Count the intakes started last month. Count the intakes finished. The gap is people you already paid to reach. Multiply it by what one first visit is worth to you.

The fix is a pipeline that mirrors the steps your patient actually takes. Ask for contact details first, with consent, so a half-finished intake still has a name on it. Record which step each person reached. Send a short, friendly nudge an hour later, then a day later, then stop. And keep photos and clinical details inside your medical record system, never in the marketing tools.

Which step of your intake do people quit on?

Sunday, 11:52 PM. Your phone buzzes on the arm of the sofa. A message request. A photo first, then three lines: she has seen your posts, two clinics have already brushed her off, and she wants to know if what she is looking at is normal.

You know you cannot answer it here. Nobody can assess anything from a phone photo in a DM, and nobody should try. So it waits for the morning, in a queue of others just like it.

By Tuesday someone on your team has written back. Carefully, correctly, and two days late. She does not reply. She has heard "we cannot help with that" before, and two days of silence sounded exactly the same.

This is the trap of good education content. It brings you precisely the people you want to see, and they arrive with clinical questions instead of booking requests. Answer the question and you break the rules. Ignore it and you look like every place that let her down. Send a cold canned reply and you confirm her worst suspicion.

There is a third way, and it is plain. The first reply goes out within minutes, in your clinic's own voice. It says, kindly, that a message thread is not the place for a clinical answer, and why that protects her. It offers a guide your clinicians wrote and a simple way to book a proper consultation. Then a person reads the thread within one working day.

Automation handles the logistics. Clinicians handle care. Nobody gives advice in a DM.

To price it, count last month's DMs that asked a clinical question. Count how many became a booked consultation. Multiply the difference by your consultation fee.

What does your clinic send first when someone DMs a photo?

Thursday, 7 PM. The last appointment has gone home and you are scrolling the pipeline. You stop on a name. He inquired last week about something he had clearly been thinking about for months. Your team texted the next morning, then twice more. Nothing.

You mark him cold. Then you read what the first text said.

Your clinic's full name. The treatment, spelled out. The time. Sent at 10:12 AM on a weekday, to a phone that was most likely face up on a desk, a meeting table, or a kitchen counter next to someone he did not want to explain himself to.

He was not cold. He was exposed, and he did the one thing that made the exposure stop. He went quiet.

For a lot of your patients, discretion is not a nice extra. It is the product. They chose you because nobody would know. Then the follow-up announced it to whoever was standing closest.

Your team did not do this. They used the template the system gave them, at the hour the system picked. That template was written for a world where a reminder is just a reminder.

Here is the count. Pull last month's inquiries who went silent after the first message. Read each message out loud, as if a colleague were reading it over his shoulder. Every one that would make him flinch is a booking you probably lost on your own letterhead. Multiply those by your average first visit.

The fix is restraint, built in. The patient chooses his channel at the first touch. Messages go out under a neutral sender name. They carry a time and a place, never a treatment. One follow-up, then silence unless he replies.

What would embarrass your patient if a colleague read your text over his shoulder?

Saturday, 2:15 PM. The door chimes. A woman steps in out of the rain, reads the treatment menu on the wall, picks up a price card and turns it over twice. Both your practitioners are behind closed doors. The person at the desk is on the phone. She smiles at nobody in particular and walks back out.

She was interested. She came in. She stood in your clinic. And you have no idea who she was.

You have probably said some version of this yourself: people walk past my window, step in, and leave without a plan.

That night at 10:40 she messages your page. Do you have evening appointments? The message sits under a weekend of other notifications until Monday. By then she has found somewhere that answered on Sunday.

None of this is a staff problem. A busy Saturday is supposed to be busy. The problem is that a walk-in has no path. Nothing asks her name. Nothing gives her a reason to leave it. Nothing answers her once you have locked up.

Try this. For one week, keep a tally sheet at the desk. Mark every person who walks in and leaves without booking. At the end of the week, count how many of their names you actually kept. Multiply the difference by your average first visit. That is what your window is costing you.

The fix is small and unglamorous. A card at the desk with a code to scan for a short, personal plan. A reply that answers at night with real appointment times. Every name, from the door and from the inbox, landing in one list that someone works through on Monday morning.

How many people walked into your clinic last Saturday and left without leaving a name?

Wednesday, 8:30 AM. The lights are on, the coffee is not, and your front desk is opening the inbox. A row of new forms came in overnight. The first one is stamped 9:47 PM.

She calls. Voicemail. She texts. Nothing. By lunch a reply comes back, polite and brief: thanks, I already booked somewhere.

Nobody at your desk was slow. They were asleep, which is what people do at 9:47 PM. The form was not slow either. It did exactly what it was built to do. It put a name in an inbox and waited.

The patient did not wait. She was on her couch with her phone and a decision half made. She filled in a few forms that night. The first clinic to answer got the booking.

This is the leak nobody sees on the ad report. The ad did its job. The click was paid for. The form was filled in. On paper, a lead. In the calendar, nothing.

You do not need more of them. You need the ones you already paid for to book.

Here is how to price it. Open last month's forms. Count the ones that arrived after you closed. Count how many of those became a booking. Multiply the gap between those two numbers by your average first visit. That is what the night is costing you.

The fix is not a night shift. It is a first reply that goes out within a minute, at any hour, with a clear way to book, and a call task waiting for your team when the doors open. The patient hears from you while she is still holding the phone.

When did your last after-hours form get its first reply?

Your next patient already messaged you. Nobody answered.

Your ads are working. Your follow-up is not.

What changes when the system is built:
✔ Inquiries answered in seconds, even at midnight
✔ Booked patients reminded, chairs filled

Your busiest hour is the hour you miss the most calls. That is not an accident, it is arithmetic, and it gets considerably worse between October and December.

Here is what usually happens to a missed call in a practice. Nothing. It sits in a log nobody opens. The caller was interested enough to pick up a phone, which makes her among the highest intent people who will contact you all week, and the entire system response is silence.

Four rungs. All of them run without a person.

The call is missed. Accept that this will happen and stop treating it as a failure to be scolded about. It is a capacity fact, not a discipline problem.

A text goes back within seconds. Sorry we missed you, we are with patients, here is how to reach us. Seconds matters, because she is still holding the phone and still in the moment. Ten minutes later she is in a meeting or in a car and the moment has gone.

The text carries a booking link rather than a promise. Someone will call you back puts the work on your team and the waiting on her. A link puts her in control while she is still interested.

If neither lands, one human attempt the next morning. One. Then she falls into the long nurture rather than being chased.

That is the whole thing. Four steps, almost nothing to set up, and the fastest item on this entire month of posts to implement. Most practices could have it running by Friday.

If you want a sense of what it is worth, count the missed calls in your phone system for one week, then multiply by what a consultation is worth to you. You do not need my numbers for that. You need your own, and they are already recorded.

How many missed calls did your practice log last week?
