A little bit of BTS Throwback from 2020 ✨

Alicia called on me to help her with vendors, sponsors and day-of coordination for one of the most unique and community driven events ever! This opportunity gave me the motivation to make @byilly.co into something bigger & better. (thanks @aliciaacewest 🙏🏾✨)

15+ hours reclaimed with zero event-day panic!

When your event operations rely on scattered texts, mental notes and last-minute setup scrambling, you spend more time putting out fires than hosting your event.

Here is the exact breakdown of the 3 systems we implemented:

CENTRALIZED VENDOR COMMUNICATION

• The Problem: DJ, Decor, Venue and Catering updates buried across IG DMs, texts and long e-mail chains.

• The Fix: We built a single Master Vendor Dashboard linking contracts, load-in times, floor plans and contacts in one place.

• The Result: Saved 5+ hours of back-and-forth and ensured every vendor knew exactly where to go on event day.

THE “BUFFER METHOD” RUN OF SHOW

• The Problem: One late vendor arrival or setup delay throws off the entire event timeline.

• The Fix: We built deliberate 15-to-20-minute operational buffers into the Master Run-of-Show around major event transitions.

• The Result: Absorbed unexpected setup delays seamlessly without the host or guest ever noticing a gap.

AUTOMATED CLIENT & GUEST INTAKE

• The Problem: Spending hours manually gathering RSVPs, vendor requirements, dietary needs and contract details.

• The Fix: We set up an automated intake workflow that collects requirements, triggers agreement forms, and logs details directly into the master plan.

• The Result: Onboards event clients and gathers vendor info in minutes with zero manual back-and-forth.

HF FAMILY REUNION 2026

We’re finally getting the content up!

And honestly, this one means a lot. The weather was NOT on our side. It rained all day, we got soaked, changed plans, moved things around and kept it pushing! Everyone still showed up and made it happen.
