The two BIGGEST problems I see when business owners hire a new contractor?

Not getting the contractor’s W-9 and not setting up your bookkeeping software to track payments by contractor.

This combo means you’re signing yourself up for a ~not-very-fun~ January when 1099s are due...

Don’t get me wrong, a bank statement is a great start!

But all it really proves is that you spent money... it doesn’t tell anyone what you spent that money for or if it truly was a business expense.

The IRS (and me, tbh) usually needs a little more context (like a receipt or invoice) that shares what you bought + that it was for your business.

Trying to recreate your entire 2026 mileage log by triangulating your trips from your Google Maps and calendar? 🔍

Do this instead ↓

📲 Download a mileage app like Everlance or MileIQ.

They automatically track all your trips! Each week, you can go in and categorize whether they were for a personal errand or a legitimate business purpose.

More of a pen + paper business owner? ✍️

That’s totally fine! For each trip, write down these things:

→ The date
→ Starting location + destination
→ Total business miles
→ Specific business purpose
→ Which vehicle you drove (if you drive multiple)

Whatever you do, the IRS wants you to keep a ~timely~ log, so make time for a 5-minute mileage review in your calendar each week. 📆 by @desertbookkeeper

Kidding, doing your own bookkeeping isn’t thaaat bad... as long as you know what you’re doing (and follow my advice on the next slides 🤭).

In my opinion, the best DIY bookkeeping set-up doesn’t mean you have to have the most expensive software or have everything automated.

The best system is the one you’ll stick with even when you’re swamped with catering to your clients and customers. 😅

Because ✨ I do all the pretty girls books ✨
I’m taking you behind-the-scenes on exactly what I did for one of my hair salon clients this month ↓

I started by importing and categorizing all of her transactions from her bank account, credit card, and gloss genius 💳

I cleaned up duplicated income from gloss genius to make sure we weren’t overstating her revenue.

I reclassified any personal expenses to make sure those didn’t show up on her P&L.

Then, I reconciled (matched) each of her accounts to its most recent statement. 🏦

As my final step for every hair salon, I ran her monthly financial reports, flagged anything that stood out to me, and sent her a summary email with all of my findings! 📊

Every hair salon deserves to understand exactly what happened in their business. I can give that to you!
