Hiii… I’m Franzi👋
Systems-obsessed. Ocean lover.
Former behind-the-scenes girl turned business backbone.

I help solo service providers ditch the chaos and build backend systems that actually support the life they’re here to create.

This is me taking up space.

If you’re building something meaningful…you’re in the right place!

These 5 automations mean your leads and clients feel held and supported from the first moment they reach out:

1. Someone signs up to the newsletter → welcome sequence starts, contact tagged in the backend.

2. Someone comments the keyword on a post → lead magnet sent, contact tagged.

3. A lead books a discovery call → confirmation with the Zoom link and prep questions, reminder 24 hours before, another on the morning, contact tagged.

4. A client signs up to 1:1 coaching through a payment link → confirmation with what to expect next, payment receipt, link to book their sessions, contact tagged, the coach gets an internal notification.

5. A new member joins a paid online community → confirmation email, payment receipt, instant access, contact tagged, internal notification sent to coach, added to the smart email list.

None of my clients touch any of this. I built it once and it’s been running ever since, and everyone who comes in gets the same welcome whether it’s a Tuesday morning or 11pm on a Sunday.

That’s 10+ hours a week back in their pockets, spent building offers and showing up for their communities instead of sending access links by hand.

PS. All five of these run inside @ivorey.io. It’s the platform I build in and my secret weapon.

Slide into my DMs. I will absolutely get too excited about your backend. by @franzi.builds

You built 12 Notion databases. None of them talk to each other. Let's fix that.

Here are just some of the ways relations can transform your setup:

Clients ↔️ Projects.
Every client page shows all their projects. Every project shows who it's for. No clicking back and forth trying to remember what belongs where.

Projects ↔️ Tasks.
Each project page shows its full task list. Each task knows which project it lives under. One click from the task and you're looking at the bigger picture.

Offers ↔️ Clients.
Each client shows which offer they bought. Each offer page shows everyone who's enrolled. Launch debrief? The data's already there.

Tasks ↔️ Team Members.
Each task shows who's responsible. Each person's page shows their full task list across every project. No more "wait, what am I meant to be doing this week?"

Projects ↔️ Testimonials.
When a client says something great, log it and link it to the project. Case study time? Open the project and every quote is already there.

SOPs ↔️ Tools.
Each SOP links to the tools it uses. Each tool page shows every SOP that depends on it. Cancelling a subscription? Check the tool page first so nothing breaks.

Want this for your business? This is literally what I do. Come say hi @franzi.builds by @franzi.builds

People assume it takes a lot of discipline. But it’s really just little tricks I play on myself because deep down I’m lazy and I know it.

1. The ritual does the heavy lifting. Home, cuddle everyone, make a coffee, laptop open. If I sit on the couch first, it’s over. I know this about myself and I’ve stopped fighting it.

2. I tell myself it’s 15 minutes on one thing. Finish it properly, then I can stop. Most nights I don’t stop, because the hard part was never the work. It was opening the laptop. But I have to believe the out exists or I won’t start.

3. Priority beats easy. Tired-me wants the quick wins so I feel productive. But when time’s this tight, the thing that’s actually time-sensitive goes first.

4. Exercise is scheduled and protected like a client call and I don’t move it for anything. I made that trade once, letting work eat my gym time, and I stopped moving entirely. Took months to undo. Never again.

5. Nothing lives in my head. Everything lives in Notion. If I don’t write it down I won’t remember it. Not might. Will.

6. Hard stop at 9pm (but usually I try to be in bed by 8:30pm). I’m up early to walk the dog and get 45 minutes in before the office. Pushing to midnight just makes me useless at both jobs.

The big stuff, deep work and my own business, doesn’t happen midweek and I’ve stopped pretending it will. That’s what weekends are for. Weeknights keep the momentum. They don’t move mountains.

And honestly, some nights nothing gets done. And that’s fine. I’m not saving lives. I’m building a business in the margins of a full-time job. It’s allowed to be slow. by @franzi.builds

the winging-it era can end whenever you want it to. if your backend is giving “i’ll figure it out eventually” energy and eventually never comes... send me a message. we’ll sort it out. by @franzi.builds

i’ve tried to be a @notionhq girlie for so long. built. rebuilt. abandoned. tried again a few months later.

what finally worked wasn’t a better template. it was building a proper backend first, before touching a single aesthetic dashboard.

the databases live behind the scenes. the dashboard sits on top with linked views only. the original databases never show up there.

here’s every rule i now build every notion setup on ↓

⸻

setup:

• build it messy first. you clean it up by actually using it, not by planning harder.

• around five properties per database is enough. add more when you feel the gap, not before.

• start with five non-negotiable databases: CRM, projects, tasks, SOPs, content.

• keep them all in a backend page. link them so tasks belong to projects and projects belong to clients.

• then build your dashboard on top with linked views. that’s where you live.

⸻

how you behave inside notion:

• name things what they are. your task database is called tasks.

• use select properties, not free text. your future self needs to sort this.

• one fact, one place. if it’s in two spots, one of them is already out of date.

• if you can’t find something in one click, it’s in the wrong place.

• open your dashboard, not your databases. always.

• tidy monthly. 20 minutes. archive what’s done. update what’s changed.

⸻

i spent years wanting to love Notion and abandoning it every few months because i didn’t get the full potential.

these are the rules i wish someone had handed me.

if you’re building yours (or rebuilding it again)… start here. no years of trial and error required.

1. saying “i don’t know, let me find out” out loud to clients. it’s the thing i was most scared to say. and it’s the thing clients thank me for.

2. letting my clients teach me what the offer should actually be.

3. charging for the thinking, not the doing.

4. turning down tasks i could do in my sleep. the ones i still say yes to now are the ones that make me sit up straight.

5. trusting that curiosity is a skill. every project i’ve loved started with “let me look into that.”

for a long time i thought i needed to know everything. that having all the answers was the job. the moment i stopped forcing that and started following my curiosity and my intuition instead, i became more myself. and the business became more like the one i actually wanted to build.

also still working on #3. it sounds so simple. but for me it's actually the hardest one on this list. taken in Sydney, Australia by @franzi.builds
