As a dentist, if you do not value your consultation appointment, it is hard for your patients to value it.

At my practice, the consultation appointment is one of the most important appointments in the entire sequence of providing a high quality experience.

And patients can tell the difference immediately.

Here is a brief overview of my consultation flow:

60 minutes

Matching the patient’s pace but calm

Slowing down for the important bits

Conversation & history taking

Oral check and sharing findings

Diagnostics and their evaluation

Diagnoses and their causes and effects

Treatment plan(s) & patient agreement

Next steps

Answering questions & further discussion

Starting a procedure, if necessary

Oral hygiene training or any take home piece of advice, if relevant at this time

Patients appreciate and pay for the time, attention, skill and care that goes into an in-depth consultation appointment like this.

Beyond this, there are all the expenses of the space, the overheads, the equipment, instruments, materials, disposables and other running expenses.

Not charging a consultation fee comes not from generosity but from fear.

Last minute cancellations are not just a waste of time, they are a waste of human resources, money, energy, overheads and care.

Once an appointment is given, a dentist will often:

- Make that time exclusively available to the patient.

- Turn away other patients.

- Review patient information like X-rays, scans, blood reports, treatment plans.

- Coordinated with other specialists.

- Mobilise other professionals for services like stents, mock-ups, digital designs, etc.

- Order some material or equipment specifically for that procedure.

- Do extra research if the case needs it.

- Change plans or commitments to be available for that appointment.

- Have all clinic resources ready including the team and the overheads.

There is nothing like ‘free’ time and every efficient practice owner knows this.

Trust is foundational to a great dental practice. Most dentists try to build trust by getting things right - diagnosis, treatment plan, clinical skills…

And yes, this is a part of the story.

But trust asks more than this. Underneath it all, trust is built on an emotion that is deeper than the knowledge in books and physicalities of clinical work.

TRUST is built in tiny moments of CARE.
✨You care about their outcome,
beyond stoking your ego.

✨You care about their overwhelm,
enough to slow down and support them.

✨You care about their preferences,
beyond the inconvenience it causes you.

✨You care about their result,
enough to repeat or modify work when needed.

✨You care about their peace of mind,
beyond the bother of answering the same question repeatedly.

✨ You care about being honest,
beyond just giving answers the patient wants to hear.

Care is built in little moments of vulnerability.
Care is built when no one is watching the grand reveal.
Care is built in every insignificant interaction.
Care is built into words, facial expression, voice tone, body language…

The fruits of trust grow,
by watering the roots of care🌻

Even a small number of reviews, just 3 - 5 a month, every month, will start to creat a priceless online reputation.

Genuine, heartfelt, thoughtful reviews are your patients building your reputation as a direct result of having experienced outstanding care at your practice.

When most clinics are able to generate an above 4-star rating, it can be hard to set your practice apart.
🌼This is why the quality of your reviews matter.
🌼The consistency of getting reviews matter.
🌼How you ask, matters.
🌼How easy you make it, matters.
🌼Your timing matters.

It does not really matter how small you start.
What matters is how consistent you are once you start.

Most importantly, quality matters more than quantity.
100 genuinely complimentary reviews are more valuable than 500 reviews that say nothing much.

100 4 and 5-star reviews are more valuable that 500 reviews that are all over the place that bring your rating down.

Never forget to ask friends and family who love your care, to leave you a review😉. It’s a great way to get the ball going or to restart getting reviews after a long break.

This is your sign to structure a system where every patient who has a great experience at your practice is requested to leave a review.

✍️DM ‘Review’ for a checklist of the system that I have put into my practice, along with important dos and donts.

From a doctor’s heart to a patient’s heart.

Clinical skills matter a lot but
there are things that matter even more.

The things that truly count in the end:

Deep care
Compassion
Providing mental comfort
Giving courage
Human touch
Gentle honesty
Detail oriented
Humility
Honest self review
Strong enough to hold your patient’s blind faith

For every doctor who wants to become the very best that they can be, these are the real traits that need exercising, building, growing, practising, every single day.

Until one day, they are so deeply embodied in you that you can’t help but become the type of doctor every patient wishes they had.

Start today. Your best is yet to come.

The day you start your clinic, you have:
already invested months,
money, effort, creativity and stress
into the process.

It reaches its ultimate peak on the day the clinic opens.
You feel all the feels. You are grateful.

And then the next day comes.

The next day is the first day of the rest of your life.

From all those who promised to come for treatment, a few come within the first few months.

1-2 appointments a week.
Some days, not a soul.
Some months, you don’t break even.
Things require maintenance even without being used.
You need to buy more material even for few patients.
You can’t find good staff.
You start panicking.
You wonder how this really works…

You finally begin to realise that
starting the practice was the actual easy part.

Building and running a practice is the hard part.
And nothing tests this more than the first few years.

Practice doesn’t ever get EASY, but it can get EASIER over time.

The pain points shift.
The mindset evolves.
The learning improves.
The habits get formed.
The reputation builds.
The practice grows wings.

The hard truth is that starting a clinic doesn’t automatically mean patients will come, income will grow, word will spread, reputation will build…

It takes leadership, communication and vision.
In the end, this is what every good practice owner has mastered.

And so can you.

The timing of your fee discussion determines whether your patients are able to put your fees in perspective or whether your patients see your fees are separate from the treatment benefits.

Put your pricing details in the middle of your discussion so that it is sandwiched between other treatment details.

There is no over-focus in it or under-focus on it.

It should be just one in many details.

🌼Things that are important:

- State fees clearly

- State fees confidently

- Pause for a second or two after giving the information, to ensure that the pricing details have been registered.

- Discuss the rationale / benefits / special care that you take - prior to introducing pricing

- Share fees timelines, if any (can go into details towards the end of the discussion)

- Share any non-negotiables.
Eg: Until payment for the scan comes in, the Invisalign treatment plan will not be processed (can be discussed towards the end of the discussion).

- Be patient when answering questions regarding cost.

You get to set your prices.

How you explain it to the patient determines whether they see value in it.

Share this with another dentist / doctor who will benefit from it 💙

⬇️⬇️⬇️Dentistry can feel lonely if you:

Practice alone.
Make difficult decisions alone.
Treat difficult patients alone.
Manage difficult clinical situations alone.
Have no one to get a second opinion from.
Cannot let your guard down at work.
Feel overwhelmed with everyday work tasks.
Have no one to laugh with or talk to.

But there is nothing a proactive walk cannot solve:)

Here’s what you will do.
Find all the dentists in your neighbourhood.
Make appointments and meet them.
Go to older practices and newer ones too.

Introduce yourself to them.
Introduce your practice to them.
Check if they’re willing to stay in touch.

Reach out occasionally.
You will understand who is helpful, supportive, friendly.
It takes only 1-2 dentists.

Make a small group that:
💙Talks often.
💙Laughs often.
💙Exchanges ideas.
💙Finds small ways to collaborate.
💙Allows you to give as much as you get.

If you’re lucky, you may never practice alone again.
You may find your support system in your own backyard.

So go on. Take that walk.
Be the change you want to see.

An elevated space is a part of an elevated experience. Healthcare is no exception.

When patients walk into a shabby space with worn upholstery, peeling laminates, stained walls and leaking ACs, they often mentally discount what the treatment should cost.

But when patients come into a space that is elevated, well cared for, thoughtfully designed and maintained with love, they instinctively sense that the priority is not price but quality and care.

Here are additional ways to make your reception look elevated (every option can be executed under Rs. 10,000) :

1. Add a bookshelf with books and objects of interest.

2. Create an accent wall with panelling or wallpaper.

3. Have 1 piece of interesting furniture - a swing or window seating or a chair in front of a chess board.

4. Frame and hang a set of photographs that tell the story of your practice.

5. Remove clutter, exposed wires, excess paperwork. Trimming away does much to neaten a space.

6. Add a water fountain or a gentle wind chime. These sounds can calm and restore an anxious mind.

7. Fresh flowers.

Your reception is the very first indication of your clinic. It should embody your professional intention.

If you have added elements to your reception that have elevated the space, please do let me know what worked for you:)
