✨ VA support for fitness, sports & health founders
💪🏽 10+ years experience
🏋🏽‍♀️ Former gym owner
👇🏽 Let’s chat about how I can help your business
POSTS STORIES REELS TAGGED
It’s been a little while since I properly introduced myself on here, and there are quite a few more of you here now, so hi 👋✨

I’m Sarah, the person behind The Fit VA.

When I first started my own VA business, I genuinely had no idea what it would eventually become.

After a career that covered a bit of everything, three years running a gym with my partner and FOUR redundancies 😅, I knew I wanted to build something that felt like mine.

It didn’t become The Fit VA straight away.

That came later, as the business grew, the work changed and I realised I wanted to focus on an industry I genuinely loved.

And now I get to work with some brilliant businesses and organisations across fitness, health and sport, doing work that looks completely different from one day to the next.

The bit I love most though is being properly involved.

Getting to know the people behind a business, understanding what they’re trying to achieve and becoming part of the team rather than someone who just pops in, ticks a few things off a list and disappears again.

Some of my clients have been with me for years now, which I’m incredibly proud of ❤️

And I’m very happy being the person you message when something has gone slightly wrong, you’ve got far too much going on and you just need someone to say...

“Leave it with me.”

So that’s me!

If you’ve been here for a while, thank you for sticking around. And if you’re new here, hi 👋

I’d love to know a bit about you too 🧡 by @thefit.va

People often ask me what I actually do.

The honest answer is...

I don’t decide that. My clients do.

Every business is different, so the first thing I do is listen.

I want to understand what’s taking up your time, what you enjoy doing, what you keep putting off and where you want your business to go.

From there, we build support around you.

That’s why, for one client I’m an Executive Assistant, for another I’m managing projects, for someone else I’m providing Operations Support and for another I’m acting as their Business Manager.

There isn’t a one size fits all package because there isn’t a one size fits all business.

I don’t believe in trying to sell people support they don’t need.

I’d much rather understand your business, work out what’s getting in the way and become the person who makes your day a little easier.

I love being behind the scenes, keeping everything moving and watching the businesses I work with grow.

Because when my clients have more time to focus on the work they’re brilliant at, I know I’ve done my job.

You don’t have to know exactly what support you need before we talk. Tell me a bit about your business, what’s keeping you busy and where you’d like it to go, and we’ll figure out the rest together🤩 by @thefit.va

I really do love a project 🤓

Give me loads of moving parts, different people involved, deadlines flying around and something we’re all trying to get over the line and I’m happy.

I’m also that person who WILL remember the random thing we talked about in a meeting two weeks ago and ask if anyone actually did it.

Probably annoying. Useful though.

Client T is a good example.

When I first started supporting them, there were lots of different projects happening at once, different people involved and a LOT of conversations going on.

So part of my job became keeping hold of all of it.

What did we agree? Who was doing what? What were we waiting for? Did that thing from last week ever actually happen?

Things would change, something new would come up and suddenly the plan we had on Monday looked completely different by Wednesday.

And I loved it.

I like being involved. I like knowing what’s going on. I like joining the dots between different conversations and making sure things actually move.

I’ve worked on some really different sports projects over the last few years, from big events to ongoing programmes, and that behind the scenes bit is definitely where I’m happiest.

Give me the moving parts

I’ll keep hold of them 💗 by @thefit.va

I don’t think you really appreciate how much goes on behind the scenes in sport until you’re actually in it.

I definitely didn’t.

You see the event, the programme, the campaign, whatever it might be, but you don’t see everything that’s gone on to get it there. The emails, meetings, changes, chasing, organising, last minute problems and the million other things happening in the background 😂

A lot of my work in sport is all of that.

Keeping things moving, knowing who we’re waiting for, sorting things when plans change, pulling information together and dealing with whatever random thing has cropped up that day.

And there is ALWAYS something 😂

This photo was taken at the IWG Global Summit earlier this year, which was one of the biggest sports projects I’ve worked on. I was involved for months before we ever got to the point you see here.

And now I get to work with sports organisations in lots of different ways, across projects, programmes, events and the day to day stuff that keeps everything moving.

I love it.

There’s something pretty bloody good about seeing the end result when you know just how much went on behind the scenes to make it happen. ❤️ by @thefit.va

I had one of those “this will only take five minutes” jobs recently.

Spoiler: it did not take five minutes 😂

And I swear this happens ALL the time in my job.

You start looking into something and realise you need something from someone else first. Then you’re hunting through an email thread from three weeks ago, looking for a document that apparently exists somewhere, and eventually discover there’s actually a newer version that nobody told you about.

Before you know it, you’re about six tabs deep wondering how you got here 😂

But weirdly, I love these jobs.

And I think the more a business grows, the more of them there are.

There are more people involved, more projects happening, agencies and partners to deal with, events to organise, meetings to coordinate and a million little things happening behind the scenes.

Someone still needs to keep hold of all of that.

I like being the person who can take something away, figure out what’s happened, speak to whoever I need to speak to and come back with it sorted.

Because if you’re trying to grow a fitness brand or organisation, there are probably much better things for you to be doing than spending 45 minutes trying to find the final FINAL_v3 version of a document 😂

A surprising amount of my job starts with a slightly vague “Sarah, can you sort this?”

Luckily, those are some of my favourite words. ❤️ by @thefit.va

I’ve noticed a bit of a shift in the conversations I’m having with clients lately.

It’s less about someone saying, “I’ve got too much admin” and much more about having a LOT going on in the business and needing someone who can actually help them keep hold of it all.

More clients. Bigger projects. New people joining. More meetings. More opportunities. More decisions to make.

All good things.

But growth creates work. And quite often, it creates work that nobody has really thought about who’s going to own.

That’s where a lot of what I do now sits.

I’m across what’s happening, I know what’s coming up, I know who we’re waiting on, I know what needs chasing and I can usually spot the thing that’s about to become a problem before it actually does.

It’s probably why “VA” doesn’t always feel like it quite covers what I do anymore 😂

For the fitness founders I work with, I want to be someone they can bring into the business and trust to get on with things, rather than another person they need to constantly give instructions to.

Because when you’re trying to grow something, having someone beside you who already knows what’s going on is incredibly useful.

And that’s definitely the kind of client relationship I love building. ❤️ by @thefit.va

I did this exercise with a client recently and it was actually quite eye opening.

We went through what she was doing week to week and when we added it all up, nearly a FULL working day every week was being spent on operational stuff that didn’t really need to sit with her.

There wasn’t one massive job taking up all that time either.

It was loads of little things. The 10 minute job here, the 20 minute job there. Something she needed to follow up. Something she needed to organise. Something she’d always just done herself because, well, she’d always done it herself.

And I think that’s really easy to do when you’re a PT or coach.

You get busier, your client list grows and you just keep fitting everything else in around the actual coaching.

But all those little things add up.

And you don’t need to come to me with a perfectly prepared list of things you want to hand over either. Sometimes we need to work that bit out together.

We can look at what you’re doing, where your time is actually going and what really needs to stay with you.

Because you might think you’ve only got the odd bit of admin here and there.

You might actually have a day of your week hiding in it. 😂

And I can think of much better things for a coach to do with an extra day. by @thefit.va

Living with a PT means I get a pretty good view of everything that goes on around the actual coaching 😂

My partner can have a full day of clients, but that’s only one part of his working day.

His phone is constantly going.

And the problem is, when you’re with a client, you’re with a client. You can’t keep stopping to deal with everything else that’s coming in.

So it builds up.

Then there’s a gap and you’re trying to eat something, reply to three people, check your diary and remember what that person messaged you about two hours ago.

Or you get home and realise there are still people waiting for a reply.

I think when you work for yourself for a long time, you just get used to doing all of it.

It becomes normal.

But as your client base grows, everything around those clients grows with it too. And there comes a point where having someone else keeping on top of some of that stuff could make life a LOT easier.

The coaching obviously needs you.

The constant back and forth around it? Maybe not quite so much 😂

If your phone currently feels like another full-time job, I can definitely help with that. by @thefit.va
