Okay so if you’re not hiring me for a certain number of hours... What are you actually hiring me for???

The simplest answer: you’re hiring me to consistently support specific areas of your business. because I don’t think your support should have to look exactly the same every single month when your business doesn’t either!

One month we might be have 2 active client projects, offboarding one client, and cleaning up something internally.

The next month we might somehow have 4 active projects, two clients wrapping up, a launch coming up, and approximately 500 little things happening at once. That’s creative business!!!!

And that’s exactly why your support is built around a scope instead of a predetermined list of tasks and hours.

We know the areas I’m here to support. we know what a normal workload range looks like inside your business. And then what I’m actually doing within those areas gets to shift as your business does.

Sometimes you’ll pop into our workspace and say “Mer can you take care of this?” sometimes I’ll pop in and say “hey!! I noticed this needs to happen next so I’m going to xyz.”

And most of the time it’ll probably be a little bit of both. THAT is what I mean when I say ongoing creative studio support.

I’m not here because you bought 10 hours of my time and now we need to figure out how to fill them.

I’m here because there are specific areas of your business that you shouldn’t have to carry by yourself anymore. I know my areas. you know my areas. And together we keep those areas moving 👏

No two scopes will look exactly the same because no two creative businesses do and I think that’s my favorite part 🤭

Okay the little Avail update I hinted at last post is finally here🤭 (i am so so excited to share it with y’all!!)

The way I support my clients has changed so much over the past few years, and I think I have been outgrowing the hourly retainer model without even realizing it haha.

Because somewhere along the way, my role working one on one with clients became so much more than completing whatever tasks were sent my way that week.

I started learning the ins and outs of my clients’ businesses. Knowing their projects. Learning their tools and systems. Noticing what was coming up next in a project phase. Thinking through how we could make something work better or quicker. Organizing the messy things. And helping make sure the things we talked about actually got followed through on.

And THAT is the kind of support I love providing!!!

I want us to feel like we are actually moving the needle in your business without worrying about a timer in the midst of it all.

Soooo Avail is officially saying goodbye to hourly retainers and moving into ongoing, scope-based Creative Studio Support 🥳

And honestly?? I am SO EXCITED to never send another “you have 2 hours and 37 minutes remaining this month” update ever again haha.

Instead of building support around a certain number of hours to use every month, we will build it around the areas of your business I am consistently supporting and/or taking the lead on.

Because creative businesses have seasons! Some months are slower. Some are busier. One month you might have two active client projects and the next you might have five.

I would much rather know what I am responsible for, know what we are working toward, and have the room to actually support you within those areas as things naturally shift month to month.

Basically, I want you to be able to think, “Oh, that’s a Mer thing” and send it my way haha. Not, “Oh, I need to see if we have enough time left for her to do this stuff” and never end up sending it!

THAT’s the kind of support I want Avail to be known for. EASY, not having to stress about time, proactive, and genuinely feeling like we are making moves in your business👏

I have been doing a LOT of thinking lately about what I actually want support to feel like for my clients.

And I keep coming back to this: I want you to genuinely feel supported and your aren’t the only one making things happen within your business.

Of course you’ll still send things my way, tell me what’s important, and loop me into what’s happening.

But the longer I work inside creative businesses, the more I realize how much I value knowing the business beyond the task sitting in front of me.

I want to know what’s happening with your projects. what’s coming up next. What we’re waiting on. What we are working towards internally. What needs to happen after that. And alllll of the things in between.

To me, support should feel like having someone in your corner who already knows what’s going on, not someone waiting for you to send them a to-do list.

I love being proactive. I love looking at something and thinking, “okay, how can we make this work better?” I love organizing the messy things, creating systems that make sense and save time, and noticing the little things that could make your business run a little easier.

And the more I have leaned into THAT kind of support, the more I’ve realized... this is exactly what I want Avail to be. <3

And that’s a little peek into what I’ve been working on behind the scenes lately!

More to come vvv soon 👀

A little bts on my routine before I start diving into client work for the day as a VA for creatives 🖥️

Just a friendly reminder that making your business more sustainable does not mean you have to have a “perfect” morning routine that starts at 5am. Sometimes it just means figuring out what makes you feel your best and creating structure and routines around that instead!

If you need Mondays to yourself to plan and prep for the week, create systems and structure that support that! If slower mornings help you focus better when you start work, adjust your office hours!

For me, that means ✨realistic✨ routines and a slow start to my day. I love romanticizing the little parts of my mornings, whether that is doing my skincare, making coffee, or going on a walk. It helps me feel so much more awake, focused, and actually ready for the day ahead when I sit down to start work!

When I first started my business, I knew I wanted the name to have meaning behind it.

I wanted it to reflect the kind of experience I hoped clients would feel when working with me.

A few years ago while researching names, I came across the word “avail,” and the second I read the meaning, I just knew it was absolutely perfect!!

The meaning behind “avail” instantly felt aligned with the kind of business I wanted to create. Something supportive, helpful, and genuinely beneficial to the women I support.

Not just helping them “get things done,” but becoming a true support system behind the scenes of their businesses that helps them reach all the things they dream of achieving and so much more. 🫶

One thing about me is I love a good client portal…

So here’s a little sneak peek of what we will use if we work together 🤭

My goal with this was for it to feel super clean and functional, not overwhelming, but still be cute haha.

Tasks have their own page, our daily communication has its own page, meeting notes have their own page (this is where we can both prep for meetings), and I have a misc page for ideas, SOPs, logins, and anything else. Basically all the info that isn’t used day-to-day lives in its own place.

One feature I think is super helpful is that you can actually see when I’ve received a task. So once you add something in and I log on to check for new tasks or updates, I’ll mark it as received so you know I saw it and it’s on my radar.

A newer thing I added was the SOP Hub, which I LOVE. I love having a place where I can reference tasks whenever needed, and if we ever bring on a new team member, all the SOPs are already organized and in place.

Okay, I could literally talk about Notion for hours so I will leave it at that!! 🫶

Here’s a quick recap:

🎧 Notion - holds my life together (and some of my clients)

✏️ Canva - for design work things and presentations

I know the easiest way to describe what I do is “I am a virtual assistant for brand and web designers”… but what the heck does that actually mean and entail??!

After working with designers over these past couple of years I feel like I’m an assistant, business and project manager, and jr. designer all rolled into one. Definitely a wear all the hats kind of girl.

Some say you have to niche down and specialize in just the assistance/managerial side of things or just be a graphic designer, but I truly love both! I honestly feel like being able to do both is what makes this so fun for me.

So swipe to see what having a second set of eyes (and hands) on your client projects can actually look like if you’re looking for some help 👀👏

I’m still here… just with a few horses, goats, and chickens running around in the background!

This past year has definitely been life-ing, but in all the best ways! I moved from the city to our family compound and have been soaking it in ever since.

Swipe for a few more little updates and bts 🫶🏼

I’m all about helping clients set strong boundaries because they make a huge difference in how you feel day-to-day. Boundaries aren’t just about saying no—they’re about protecting your time, energy, peace, and passion for what you do. Here’s why they matter and how you can start building them:

💌 1. Set Your Working Hours:
Choose the hours that work best for you and stick to them. If you need mornings to yourself, maybe your workday starts at 12 PM and ends at 5 PM. Set these boundaries and make them clear to everyone—whether it’s in your welcome packet or in a quick email. And remember, even if it’s just a quick response, don’t break your boundaries. This helps you recharge and come back to work refreshed and ready☀️

💌 2. Communicate Expectations Early:
From the beginning, let your clients or team know when and how they can reach you. If email is your go-to for communication and you’re not about meetings, let them know! You could say, “I’ll email you within 24 hours with a Loom going over this in detail.” Setting these expectations takes the pressure off and sets everyone up for success!

💌 3. Learn to Say No:
Sticking to your boundaries sometimes means turning down projects that don’t fit on your plate right now. Even if it’s for a past client, it’s okay to say, “I’d love to help, but I don’t have the capacity at the moment. My next availability is xyz. Does that work for you?” This way, you can give your best to what you’ve already committed to without spreading yourself too thin.

💌 4. Review and Adjust:
Boundaries aren’t set in stone, so check in with yourself regularly. Maybe add a time block to your calendar on the last Friday of every month to reflect on how things are going/went for the month. If you notice your working hours are creeping later into the evening, it might be time to check in with yourself and get back on track.

✨Outcome: A Thriving Business and a Balanced Life✨
When you have strong boundaries, you create a space where you can truly thrive. You’ll feel less overwhelmed and frazzled, more focused, and stay in love with what you do. And that’s when your business becomes sustainable—and you can enjoy life outside of work🌸 by @availvirtualassistance

“Grab the matches, start a fire” and throw imposter syndrome in the dang flames AND LET IT BURN🔥

Imposter syndrome is very much a real thing that touches so many creatives’ lives, and it isn’t talked about enough…

One of the main reasons why it bothers me so much is because it literally chips away at our originality and undermines our confidence. It makes us question our abilities and unique talents to others, which is such a disservice to ourselves. Our vision is valid and is meant to be seen ESPECIALLY in world that is straying away from hand crafted design.

When we let imposter syndrome take hold, we start to doubt our creative instincts and feel like we don’t deserve our successes. This constant self-criticism can stifle our creativity and prevent us from fully embracing our true potential.

But here’s the thing: your creativity, your voice, and your perspective are invaluable. They’re what make you stand out and bring something fresh to your community. It’s time to shed the weight of self-doubt and recognize that your contributions are meaningful and worth celebrating AND showing!! You have a unique path to follow, and your journey is yours alone. Embrace your originality, trust in your abilities, and let go of the fear that you’re not enough. You’ve got this, and your work is worth sharing with the world. It’s time to set imposter syndrome ON FIRE 👑
