Taking on a big order, a catering job or an event booking? Asking for a deposit upfront is normal, and it protects your cash flow before you spend a cent on stock or time.

Keep it simple:
1️⃣ Put it in writing: the amount, when it's due and what it covers, right on the quote
2️⃣ Say when it's refundable: clear, fair terms agreed before you start
3️⃣ Make it easy to pay: send a payment link or PayID with the quote
4️⃣ Start once it's in: book the date or order stock after the deposit clears

Most customers are happy to pay a deposit when it's explained clearly and up front. It also cuts down on no-shows and last-minute cancellations.

Least-cost routing: is it switched on for your card machine?

Most Aussie debit cards are dual-network: eftpos plus Visa or Mastercard debit. When a customer taps, the payment usually goes through Visa or Mastercard by default (RBA).

Least-cost routing lets your provider send those debit taps through whichever network costs you less. The RBA estimated merchants with it switched on had debit card costs nearly 20% lower on average. Results vary by business and plan.

At June 2026 it was on for 83% of merchants for in-person payments (RBA). Ask your provider two things: is it on for tap, online and mobile wallets? And are the savings passed on to me?

Send this to a cafe or salon owner who's never heard of it.

Payday Super: 7 business days. Here's what that means if you have staff.

Since 1 July 2026, super isn't paid quarterly any more. You pay it for each payday, and it has to be received by your employee's fund within 7 business days after payday (ATO).

Business days don't include weekends, or public holidays that cover a whole state or territory. New staff, or a first payment to a new fund, get 20 business days.

The ATO says best practice is to pay super on payday, because clearing houses and funds take time to process. The ATO's Small Business Superannuation Clearing House has closed, so check how long your payroll provider or clearing house takes.

It can apply to some contractors too, like those paid mainly for their labour.

Send this to a business owner who still thinks super is quarterly.

Why KM Capital exists.

On 1 October, card surcharges were banned overnight. Plenty of cafe, dessert shop and salon owners were left working out what they're actually allowed to do, and most of what's out there is either legal-speak or guesswork.

So we explain it plainly. Every post is checked against the RBA, ACCC and ATO, and we label example numbers as examples.

We started this because we care about one thing: that you know what's allowed, you know what to say when a customer asks, and you get to keep your margin.

Follow along for free, plain-English tips. If you'd like it all in one place, the Surcharge-Free Pricing & Get-Paid Kit is A$19 at launch for the first 20 buyers. Address in bio.

Tradies: a $500 job paid by card. What do you actually keep?

Example only. Say your online invoice fee is 1.7% + 30c (check your own rate). The fee on $500 is $8.50 + $0.30 = $8.80.

If they pay by card on or after 1 October, you generally can't add a card surcharge, even on an invoice you sent before then (RBA). Check with your payment provider.

So build it into the quote. Example: (500 + 0.30) ÷ (1 − 0.017) = $508.95. Quote $509 and after the card fee you keep about $500.

Want them to pay another way? Offer it as a discount: "$500 if paid by PayID or bank transfer." Show the full price just as clearly as the discounted one (ACCC). Put your PayID on every invoice so it's easy.

Send this to a sparky, plumber or chippie mate.

Your Sunday surcharge sign, word for word.

Weekend and public holiday surcharges are still allowed after the card surcharge ban, as long as they apply however people pay (ACCC, RBA).

Cafes and restaurants get to keep them off each menu price, but only if the menu uses the ACCC's wording: "A surcharge of [percentage] applies on [day or days]." Example: "A surcharge of 10% applies on Sundays."

It has to be at least as prominent as the most prominent price on the menu. Small print at the bottom doesn't cut it.

The catch: if a fee applies every day, it isn't a day surcharge. The ACCC's example is a 5% fee charged every day, which has to go into the single total price you display.

Send this to a cafe owner who's reprinting menus.

QR ordering fees after the surcharge ban: is that just a surcharge with a new name?

There's a thread on r/melbourne about card surcharges going and platform fees turning up. Here's the general rule.

A fee everyone pays, however they pay, isn't a card surcharge. The ban only covers fees added because someone pays by card (RBA, ACCC).

A fee only card payers pay is a card surcharge by another name. The ACCC says dressing it up as something else may be misleading conduct.

Either way, show it up front. Under the ACCC's price display rules, a fee you can work out when the price is shown, like a flat %, has to be in the single total price you display.

Send this to a cafe owner who uses QR ordering.

Card fees go public from 30 October 2026. Here's what that means for you.

From 30 October, card networks and large acquirers have to start publishing information about card payment fees on their websites, and the RBA republishes it soon after (RBA).

Coming up next (RBA):
30 Jan 2027: large acquirers publish how the interchange cuts have flowed through to merchant fees.
1 Apr 2027: all acquirers give merchants more detailed statements.

Your side of it: know your real rate. Total card fees ÷ card sales from your last 3 statements. Then you can compare providers properly, including terminal rent and exit fees.

Save this for your next admin day, and follow for plain-English pricing tips.

Price for what it really costs you. Then say it plainly.

Clarity beats guesswork — know your costs, show your price, keep it honest. Your customers can handle a clear price; what they don't like is confusion.

Card minimums after the surcharge ban: yes, you can still set one.

WA's Small Business Development Corporation says you can set a minimum card transaction, like $5 or $10, as long as you tell customers clearly.

Put it on a sign at the counter, so people see it before they order or pay. Example: "Card minimum $10. Under $10? Cash or PayID."

Check your payment provider's terms before you change anything.

The catch: some people will skip a small buy rather than pay another way. Building card costs into your prices is the other route.

Send this to a cafe or dessert shop owner who keeps asking.

Someone on r/ausbusiness asked whether payment providers are actually passing on the savings from 1 October. Fair question.

From 1 October the RBA cut interchange, the wholesale part of your card fee. The consumer credit card cap went from 0.8% to 0.3%, and debit is now 8c or 0.16%.

But interchange is only one part of what you pay. On a flat-rate plan, you only see the saving if your provider lowers your rate.

So ask them: "Has the 1 October interchange cut been passed on to me?" Then get two other quotes and compare the total cost, including terminal rent and exit fees.

From 30 October 2026, card networks and large acquirers start publishing fee information and the RBA republishes it, so it gets easier to compare.

Comment "RATE" if you want the 3 questions I'd ask your provider, and follow for plain-English pricing tips.
